All bookings must be made online or by post. The non-refundable deposit must be made at time of booking for the camp (and bus, if required). The booking form must be completed fully and truthfully. Booking forms will not be accepted where there are omissions or misleading information. It is your responsibility to inform the EMW office (before the camp start date) if the medical, educational, behavioural and/or health needs change from the information provided at time of booking. Bookings will be dealt with from 1 March 2019. You will receive confirmation of booking within 28 days. You will receive a letter from the camp leader 28 days before the camp start date. All correspondence will be sent by email if an email address has been provided. Payment of the balance must be received by 31 June 2019 and can be made by credit/debit card, cheque or online. You are responsible for ensuring the balance is paid by the due date. If payment is not received by the due date your booking may be cancelled. Each sibling is entitled to one sibling discount, even if attending multiple camps. Bursaries from the Aunt Bessie Fund are limited and subject to availability and requests will only be considered with photocopied proof of eligibility.
If you wish to change your booking please contact the EMW office immediately who will try to meet your request. We reserve the right to charge £5 per alteration. Please note places are not transferable.
If you wish to cancel your camp and/or bus booking please contact the EMW office immediately.
Sliding scale of amount refunded when booking is cancelled:
• 56 days or more before camp starts: Full fees (less deposits)
• 55-29 days before camp starts: 75% of fees (less deposits)
• 28-8 days before camp starts: 50% of fees (less deposits)
• 7 days or less before camp starts: 25% of fees (less deposits)
Full fees (less deposit) will be refunded for certified illness on receipt of proof. Please inform the EMW office immediately then send proof to: Gwersylloedd MEC, 31 Holyhead Road, Bangor, LL57 2EU.
Camps are covered by the EMW’s public liability insurance. It is recommended that all campers take out personal holiday insurance.
EMW will use the personal information you provide to keep you informed about the camp you/your child is attending. We will not share your information with any other parties.
If you leave something behind at camp contact your camp leader and failing that, your camp venue. Unclaimed lost property returned to the EMW office will be kept until 30 September 2019. Lost property will be returned on receipt of postage.
