All bookings must be made online. The non-refundable deposit must be paid at the time of booking for the camp (and bus, if required). You will not be asked for the medical information of the child during the initial booking, this is to allow churches and youth groups to book children onto camps.
Bookings will be dealt with from 10.00am 4 February 2020 and will be allocated on a first come first served basis. You will receive confirmation of your booking within 28 days that will also include a link to complete the medical and personal information of the camper. Important – failure to provide medical and personal information within the allotted time may result in the child losing their place on camp (including the deposit). You will receive a letter from the Camp Leader 28 days before the camp start date. All correspondence will be sent by email if an email address has been provided (please check your junk mail).
The booking form must be completed fully and truthfully. Booking forms will not be accepted where there are omissions or misleading information. It is your responsibility to inform the EMW Office (before the camp start date) if the medical, educational, behavioural and/or health needs change from the information provided at time of booking.
Payment of the balance must be received by 25 May 2020 and can be made by credit/debit card, cheque or online. You are responsible for ensuring the balance is paid by the due date. If payment is not received by the due date your booking may be cancelled and you will lose the deposit.
*How do I book?
Booking for a camp is done online from the booking page. The page will open at 10.00 am on 4 February and can be accessed through the website, directly from an EMW promotional email or from our facebook page. Bookings are dealt with on a ‘first come, first served’ basis.
You may only book one child at a time and you will only be asked to pay the deposit. You will not be asked to enter any medical information or required to get the child/parent to sign the form during the initial stage of booking. You will receive a further email once your booking has been confirmed with a link to provide this information within 21 days of the email.
Why have you changed the booking system this year?
We were surprise by the increase in young people wanting to come on camp last year. We worked hard to increase capacity (and continue to do so), but we’re aware that many campers weren’t able to attend their chosen camp (and that our system weren’t able to update parents or churches quickly as to which camps were available). We also faced questions regarding the criteria that was used to decide who could attend which camp (if the camp was oversubscribed). Although we’re aware that no system is perfect, we decided that the fairest way of dealings with bookings was to make them online only and show what was available on a ‘live’ basis.
How do I know if a camp is available?
When the booking opens the booking form will show if a camp is available or is sold out.
I’m representing a church or youth group – and have always used a paper booking form as this is the best way to get parents from outside the church to book – what am I going to do this year?
The online system allows you to book a child onto camp without being a parent or legal guardian (they will have to sign before they come on camp). By booking a place for the child and paying the deposit, you can ensure that the child has a place on the camp. An email will be sent to you to pass on to the parent to fill the relevant details and give the relevant permissions.
Can I put my child’s name on the backup list?
Every year we have some limited number of children who drop out of camps for various reasons. You are able to place your child’s name on the backup list (by emailing the email@example.com clearly stating the name of your child and the camp he/she wishes to go on), but we recommend that you look at some of the other options available. Placing your name on the backup list will not guarantee a place on camps in 2021. Last year we had a number of campers who didn’t get on their first choice but who found alternative camps that they fully enjoyed.
My child didn’t get a place on camp last year but we received an email guaranteeing us a place this year – is this still valid?
We have a list of all campers who failed to get a place on camp last year and we’re currently contacting all their parents to offer them a place on camp this year. You should have receive this email by 22/1/2020. If you have not received this email, please contact the office to speak to us. The offer will be available up until 5.00 pm Friday (31 January). If a parent has failed to take advantage of the offer by this date, they will need to book through the normal system.
What happens if I have a problem with my booking or the web-site goes down?
Booking this year will be done through an external provider that can be accessed through the EMW site, direct through marketing emails and through the Facebook page of the camps. Please use all methods.
